Instructions for Reserving Your Minivac
Congratulations! This promotion was created to help you enjoy an extraordinary experience in the most beautiful national destinations and to introduce you to the vacation program that participating hotels have developed for families. It’s very important not to purchase flights until you have confirmation of your Minivac reservation.
1. Review Validity and Requirements
Before requesting your reservation, please verify:
• That your Minivac certificate is valid (12 months from the date of purchase).
• That you and your companion have completed all personal information and have sent us documents proving your identity.
• That you are willing to attend the 120-minute vacation club sales presentation, a prerequisite for the promotional rate.
2. Reservation Request
At least 30 days prior to your arrival date, please contact our reservations department using the following methods:

Business Hours: Monday to Friday, 9:00 a.m. to 6:00 p.m. (CDMX).
When making your request, please have the following:
• Minivac certificate or folio number.
• Full names of attendees.
• Desired dates (main option and 1 or 2 alternative dates).
• Requested destination.
• Copy of official identification.
• Email and contact phone number.
3. Availability Confirmation
• Our team will validate the hotel’s availability on the requested dates.
• Once the «Gaia» date is found, a formal request will be made to the hotel.
• The hotel will make a phone call to verify the guest’s identity; be aware of unknown numbers.
• Once verification is confirmed, the date will be confirmed by email with a confirmation letter from the hotel containing your reservation details.
4. Vacation Club Presentation
• The presentation will be scheduled during your stay, usually on the first or second day of arrival, according to the hotel’s agenda.
• Personal and joint attendance of the cardholder and their companion is mandatory.
• Failure to show up or leaving before the end of the presentation will result in the hotel’s regular rate being charged.
5. Arrival at the hotel
• Present at reception: Current government-issued identification.
• 1 bank credit card as a guarantee for extras (no charges will be made without your authorization).
• Follow the hotel’s instructions for the day and time of the presentation.
6. Changes or Cancellations
• Any date changes are the responsibility of the hotel and the management of these rooms. Gaia has no control over these internal policies. The hotel may refuse or incur special charges, always subject to availability.
• Late cancellations or no-shows incur charges according to hotel policies for the guest, who understands and accepts that the promotion is non-transferable and non-refundable.
You authorize Gaia Travel Network to share your information with those involved in the promotion.
Once confirmation of the hotel reservation is received, this commercial transaction will be finalized. We will provide advice at all times, assuming complete satisfaction of both parties.
